We are seeking an experienced Executive Personal Assistant to the Chief Creative Director to join the team based at the MaXhosa Africa Johannesburg Head Office.
JOB SUMMARY:
As an Executive Personal Assistant to the Chief Creative Director of the company, you will be responsible for providing high-level administrative support, enabling him to focus on his creative role and maximise productivity. You will act as the primary point of contact between the Chief Creative Director and internal/external stakeholders, manage the schedule, coordinate meetings travel arrangements, and ensure smooth communication within the organisation. The ideal candidate should be highly organised, proactive and capable of handling confidential information with professionalism.
Key Responsibilities(but not limited to):
- Calendar Management: Efficiently manage the Chief Creative Director’s schedule, including prioritising appointments, meetings and events to optimise time. Executive multiple daily of the Chief Creative Director.
- Communication: Screen and respond to emails, phone calls and other correspondence on behalf of the Chief Creative Director. Maintain open lines of communication with internal and external contacts.
- Meeting Coordination: Arrange and coordinate meetings, prepare agendas, take minutes and follow up on action items to ensure efficient decision-making and execution.
- Travel Arrangements: Plan and coordinate domestic and international travel itineraries, including flights, accommodation, ground transportation, and other logistics.
- Documentation and Reports: Prepare and review documents, presentations, reports, and other materials as needed by the Chief Creative Director.
- Information Management: Maintain confidential records, files and databases. This will ensuring accurate and up-to-date information is readily accessible.
- Relationship Management: Build and maintain positive relationships, with key stakeholders and senior management.
- Special Projects: Assist the Chief Creative Director in research, analysis, and special projects as assigned, providing support in a variety of strategic initiatives.
- Confidentiality: Handle sensitive information with discretion and maintain a high level of confidentiality at all times.
Qualifications and Skills:
- Bachelor’s degree in Business Administration, Management, or a related field is essential.
- Proven 3-5 years experience as an Executive Assistant, Personal Assistant, or in a similar role supporting senior executives.
- Excellent organisational and time management skills with the ability to multitask and prioritise effectively.
- Strong communication skills, both written and verbal, with a professional and diplomatic demeanour.
- Proficiency in MS Office, MAC Apple and other relevant software applications
- Ability to work independently, anticipate needs, and take initiative to solve problems independently.
- High level of integrity, professionalism, and confidentiality and confidence.
- Flexible to work outside regular business hours when necessary
- A valid driver’s licence and flexible to travel local and international
- Business savvy and realistic
- Ability to read the room and do physical work when needed
- High standard (work, appearance, etc)
